the goal
- The primary objective of our long-standing client for their incentive trip to Lisbon was to optimize the registration and booking process and make it transparent and user-friendly.
- Other key criteria were making process control available at the push of a button as well as maintaining the lowest possible budget and personnel costs. For this reason, all relevant participant information for the incentive trip should be available via smartphone, as well as on spot via push notifications.

the content
- The registration portal was at the heart of our service, in which the participants were able to enter all relevant data and information about themselves and their guest for the incentive trip. Here, information regarding dietary requirements, special diets, etc., could be recorded. Participants could also pre-select their program choices via the app. As each program choice had different quotas, an automatic contingent manager had to be installed into the tool, in order to avoid potential overbookings.
- Our event hotline was available to participants before and during the trip, for any changes after registration or general questions. This way, our client was able to fully concentrate on content-related topics. Participants could find detailed tourist information about Lisbon through the registration portal. The best restaurants, shops and hot spots in the city were also accessible via smartphone thanks to the event app that we created.
- For the highest possible level of transparency during and after the trip, we integrated a reporting system into the registration portal, which enabled the event hotline, the project managers and our client to access the current log-on status at any time and also in real time. For participants, there was also a feedback possibility provided. The collection and evaluation of this data will then be used to help optimize future projects.

the result
- Transparent and simple – these were the main criteria for our registration portal. We were able to meet both these requirements thus saving our client working hours and therefore lowing personnel costs.
- The relaxed and easy registration through the registration portal, made the whole experience much easier for the participants. The detailed information provided made the experience un-forgettable as confirmed in the feedback sheets.
- The data collected during the registration process as well as the feedback information can all be used to optimize future events.
